1.          Introduction

This console describes the process of Booking of Crew for coaching trains. The prerequisite is that the coaching crew links have been approved and issued to all concerned by the administrative office. Coaching crews are selected for a specific links and then they are booked on the train by the CMS system.

 

Creat / Edit Link             -           A regular or one time Link is created

Link Crew                      -           As per the Link requirement suitable crew is assigned to Link.

Initialize Link                 -           Link is correlated with the actual position of the crew.

2.            Crew Booking Through TA

The below mentioned flow diagram describes the process in detail:

Primary : Traffic supervisor

Secondary: Loco Supervisor.

Traffic Advice

If crew ordering time – system time < 45 min or crew has sign on TA cannot be put back.

Cancel possible if crew has not signed OFF on valid TA.

Without TA, Crew booking is not possible.

Crew Booking

TNC has three options to book crew: FETCH ALL, FETCH WITH LR or FETCH AS PER RULE.

 

 

 

TNC serves call via SMS or manual call.

Call serve

SMS is sent again if the 1st SMS is not acknowledged within 5 minutes. If 2nd SMS is also not acknowledged within 5 minutes, crew’s status goes in SYSNF.

 

 

 

Call Acknowledgement details are filled up by the TNC if the call is served manually.

If call is refused, status of crew changes to SYSRF i.e. system non run.

 

 

 

Crew has to SIGN ON on the kiosk or manually by supervisor.

Crew Sign on 30 minutes earlier to the sign ON is not possible to sign On. Crew ack time + 2hrs Crew can sign on beyond this cannot sign on. Crew Sign On late goes to SYSLATE.

 

 

 

Supervisor has to approve the sign on off of the crew.

Complete Sign On details with Breath Analyzer results need to be verified & entered where ever applicable.

Crew Signs OFF to go into a rest state. However crew may opt for one of the rest type.

3.            Traffic Advise

The traffic advice is created as per time specified in Time Table of Passenger/Mail/Exp./ Rajdhani or Shatabdi.  One of the 2 supervisors enters the TA details into the console.

 

On opening the TA console, the supervisor is presented with the above screen. He has to enter the details of the TA. Information required is –

Note: - If Loco No. not required left it blank with Loco Type Select while creating TA. But

Loco No. has to be filled before the crew Sign’s off on KIOSK or Manual, On completion of the data entry, the supervisor has to save the TA. Pop up confirming the TA number is generated by the system to confirm the same.

 

 

Train Clerk of respective lobbies servers call. Call can be served as SMS or printed out.

Call serve

SMS is sent again if the 1st SMS is not acknowledged within 5 minutes. If 2nd SMS is also not acknowledged within 5 minutes, crew’s status goes in SYSNF.

 

 

 

Call Acknowledgement details are filled up by the TNC if served manually.

If call is served through SMS, then the crew will acknowledge by rending reply either YES or NO.

Call refused makes the crew goes to system non run (SYSRF). Supervisor has to regularize.

4.          Typical Crew Link

 

A typical link of the mail express train is as below. This link shall be entered by the supervisor into the system.

The links of Loco Running Staff and the Train running staff are different.

 

 

5.          Create / Edit Link

New links can be created or the already existing links can be edited in the CMS software.

 

The various service types of links possible are:-

 

a)     Mail Express Links.

b)    Passenger Links.

c)     Rajdhani Links.

d)    High Speed Links

e)     Mixed Links (High speed + Rajdhani)

 

Various types of link possible on :-

 

A)    Daily link

B)    Weekly link

C)    Multi weekly link   

 

The coaching crew links indication indicating time of arrival departure of the train, time of crew reporting to the duty, details of regular HQ, outstation and Long / periodic rests incorporated in the Coaching links.

 

DAILY LINK

 

In daily link rotation of crew in link is from first set no. to last set no. or from upwards to downwards without leaving any set no. on daily basis. Name of the crew is displayed in coaching serve call daily basis as per scheduled train.   

 

WEEKLY LINK

 

 

 

MULTI WEEKLY LINK

Also the coaching link has information on the call serve time and whether the call has to served in the day or not and station sequence. The software essentially gives call to crew whose call serve time falls in the night. (22:00 – 06:00).

 

6.          Assign crew to the Link

6.1.     Linking of the Crew to Train

Based upon the requirement as specified in the Coaching link Like HQ, Type of link, Type of Crew, Route and Crew Loco Handling capabilities the CMS fetches a list of valid crew for the link. The link is displayed in the decreasing order of the seniority. The Train Clerk shall nominate a group of Pilots & Assistant/Co-Pilots to a particular link.

 

6.2.     Booking of Crew in case of crew shortages in a category

In case of shortage of crew the Staff in lower grades can be booked in the higher grades, provided officiating them through Crew bio data.

a)     Passenger crew can be booked for a Mail Express Link.

b)    Goods crew can be booked on a Passenger or Mail Express link.

 

The software provides check boxes as per the standard requirement for the type of the link. In case the TNC desires to put other crew also there then he can so choose.

 

6.3.           Linking of Assistant Pilot

The Assistant Loco Pilots are also booked along with the Mail Express Links all such Assistant Loco Pilots identified for the crew link should have approval of Sr DEE/Sr.DME. All such crew is displayed in the list of Assistant Loco Pilots in the decreasing order of seniority. Once an Assistant Loco Pilots has been booked to a Coaching Link his name stops to come in the list of freight booking.

 

6.4.           Linking of Co-Pilots

For running of Rajdhani / Shatabdi express high speed trains instead of Assistant Pilot, Co-Pilot is booked on the train through the Link or manual by TA.

 

6.5.           Booking of Guards to a Link

The booking of guards through link or manual is on the all Links; such guards identified for the crew link should have approval of competent authority. All such gaurds is displayed in the list of link guard in the decreasing order of seniority.

 

6.6.           Link to Link Crew Swap

As per requirement if there is a change in scheduled trains of crew, they can be changed from one link with crew of another link for this link to link swap check box is provided on the link crew page. Any two crew can be checked from different links & they will be interchanged.

7.          Activate / Deactivate a Link

After a crew link has been made the link has to be activated. The crew Links are normally made in deactivated state when first made. To activate the link check box is provided.

 

8.          Initialize Link

 

 

The Link has to be initialized for the first time after creation of any new link of any modification in old link before call serve. The Loco Pilots /Co-pilots and Assistant Pilots to be initialized in pairs for a link to be initialized fully.

Similarly Guards can also be initialized through link.  

 

9.                      Manual Data entry for Crew movement

 

TNC can choose to enter crew movement details manually. Manual data entry for crew movement is performed either when journey performed by crew is as per modified TA or when crew has worked at non commissioned lobbies. All such TA which have not been closed i.e. crew has not signed OFF can be tackled through manual data entry.

 

When the crew ID is entered, then the last valid TA of the crew is displayed. Various validation checks have been enabled, so that the data entered is error free. The checks are between the Sign ON and Sign OFF time of the same run and the sign OFF time and Sign ON time of the next run. In case the rest values entered in each run are incorrect, the system corrects it.

 

There is a facility to update associated crew run also within same entry by selecting check box provided as “Update Associated Crew”. On selecting this check box all the entries made for the first crew is also saved for the associated crew & and both the crew entries with sign off details are saved in one go.

 

 

10.       Day Details- Reports

 

All such crew who have been put on a link and initialized shall appear in the three types of day details reports.

 

Types of day detail reports:-

 

1. Coaching Day Details Lobby wise  

2. Coaching Day Details Crew wise

3. Coaching Day Details

 

 

Coaching Day Details (lobby wise): This day detail pertains only for outgoing crew of all Hqrs for next 24 hrs from current time.

 

 

 

 

 

Coaching Day Details (crew wise): This day detail pertains only to Hqrs Crew for one day both inward as well as outward.

This day detail pertains only to Hqrs Crew for Next 24hrs from current time both inward as well as outward. 

 

 

Once the crew have been put on the link then based upon the day details TA flow has to be made as explained in the flow diagram as above. The day details have to be viewed in the reports.      

 

 

 

11.       Call Serve Day detail

After initialize the link, call serve day details generates in TNC consol of both H/Q as well as out station outgoing crew upto next 24hrs from current time. For an automated call serve of a link crew. Call serve can be manual & automated (SMS) from system. Crew on rest for 24 Hrs are also displayed under the list of crew wafting for call serve.  

 

 

 

12.       Train Search

 

Facility to search trains approaching a particular lobby is available, Details are fetched through ICMS.  User has to

·         Enter Station code & Schedule Arrival Upto (Hrs.)

·         Enter Train No and Train Departure Date

 

 

 

This screen will show you the last 5 station travelled by the selected train as well as the    train current station arrived by train. 

 

 

 

 

13.       Frequently Asked Questions

 

12.1           How do I send Crew to Non Run?

This can be done through the Non Run Facility provided in freight, crew has to de linked from link.

 

12.2           What if the Crew turns up late?

In case the crew turns up later then the train ordering time the crew can not sign ON. He has to contact Supervisor. Further such sign on of the crew shall not be permitted 7 crew is sent to SYSLATE in System Non Run.

12.3           What if the crew is not found or refuses call?

In case of crew not found the crew is given call one more time then sent to system non run. In case the crew refuses call he is sent to system non run. The supervisor has flexibility to mark him absent, Sanction CL as in case of freight crew booking.
